How to book a Zada boat: three steps, a written quote and a cut-off date
Updated 28 October 2026
Booking takes three steps: message us the head count and dates, receive a written quote, then pay a 50 percent deposit and the balance 30 days before sailing. If the booked boat cannot sail for a reason beyond our control, we arrange a replacement boat for the same dates, or refund you under the booking terms.
The first message: head count, dates, one boat or several
The first message can be four lines long, and it can be sent on WhatsApp or by email. Line one is the head count, as a number or a range. Line two is the dates, or the month, and a second set of dates if you have one. Line three is the length of the stay: one day, 2D1N, 3D2N, 4D3N or 5D4N. Line four is the boat, or the words "help us choose".
"Not sure which boat" is a valid first message. Give us the head count and the budget per head, and the producer on your file answers with the boat or the combination that fits, and says why. Head counts above 28 need more than one boat; the multi-boat page works through 25, 40 and 60.
The chat is open every day, 08:00 to 20:00 WITA. We reply during chat hours; a written quote follows once we have head count, dates and length.

The producer's checklist and its cut-offs
Six items make up a complete file. Each has an owner and a cut-off, and the dates are set in your written quote, because they depend on your sailing date.
- Head count. From the organiser, first, as a number that can change only before the quote is accepted.
- Rooming list. From the organiser, with pairs named. The bed set-up for each pair is confirmed with the rooming list, in writing, before you pay.
- Dietary list. From each guest through the organiser, including allergies and halal needs.
- Flight manifest. Arrival and departure flights, so pickup and the return can be planned.
- Branding wishes. Banners, a logo on a cake, a photographer: all on request and quoted separately.
- Budget per head. From the finance owner, so the quote can fit the boat to the figure.
Late items are not refused, but they are the ones most likely to be wrong. A manifest that arrives after the cut-off delays the sailing permit and the park tickets.
Anatomy of our written quote: lines, gaps and caveats
A quote is a document in four parts, and it is the only figure that binds.
The rate. One line per boat: the boat, the length, the band for your head count and the whole-boat rate, in rupiah, with the dollar figure beside it. 2026 rates, IDR, per boat.
Outside the rate. Park tickets and ranger fees, flights, hotels before and after, personal expenses and crew tips. These are never in a fare.
On request, quoted separately. The guide and photo and video documentation on a private charter, and anything for an event: decoration, an MC, music, stage, banners. We publish one 2026 price list for each boat; weekday and weekend rates are confirmed per date on request.
Confirmed in writing. The return time on the last day, the twin or double bed set-up per pair, and any request beyond the standard fare, such as a dinner on an island. A change of boat after the quote is a new quote.
Payment and refund scale in one table
Prices include 11 percent VAT, and the quote shows the final amount. The table sets out every payment step and every refund step in one place.
| Step | When | What happens |
|---|---|---|
| Deposit | On accepting the written quote | 50 percent of the quote |
| Balance | 30 days before sailing | The remainder; a booking made inside that window is paid in full on confirmation |
| Cancellation, 60 days or more before sailing | Written notice | 50 percent refunded |
| Cancellation, 30 to 59 days before sailing | Written notice | 25 percent refunded |
| Cancellation, closer than 30 days | Written notice | No refund |
| Change of date | 14 to 29 days before sailing (free from 30 days; 13 days or less counts as a cancellation) | IDR 500,000 per change, subject to the boat being free |
Payment is by bank transfer in rupiah, a credit card payment link, Wise, Revolut, PayPal, QRIS, Alipay or WeChat Pay through a payment partner. The card link carries a fee shown on the invoice, and PayPal adds 7.2 percent. The organiser pays; we make no promise to split a payment across several payers.

Names exactly as on the ID, sent before final payment
The sailing permit and the park tickets are issued against names, so the names on your manifest must be exactly the names on the passport or ID. A nickname, a missing middle name or a swapped order can hold up a permit. Indonesian citizens and foreign visitors pay different park fees, so mark each name accordingly.
The date by which the names must reach us is set in your written quote, and it falls before final payment. Names can be replaced before that date. After it, a replacement may cost time that the permit does not allow, and we say so in writing.
For more on the park fees and the list, the park fees page has the table. Each guest also brings a passport or ID copy for the sailing permit.
The replacement boat, in writing
If the booked boat cannot sail for a reason beyond our control, we arrange a replacement boat for the same dates, or refund you within 14 days, under the booking terms.
If that happens, the problem is ours to solve, not yours. We tell you as soon as we know, in writing. You then choose between the replacement we offer for the same dates and the refund. We confirm class and capacity in the replacement quote, and the replacement is offered in writing before you accept it.
The promise does not turn a change of route into a failure to sail. If weather changes the stops, the captain decides, and the sailing still counts as sailed.
Which company issues the invoice and receives the money
PT Komodo Explorer Indonesia (NIB 1805260128363) is the booking partner: it quotes, invoices and arranges the pickup. The boats and their crews belong to and work for the operator group. The invoice, the receipts and the quote all carry our name and company number, so a finance department can file them as it would any supplier's.
The invoice goes to the company, in the name you give us. If the invoice must carry a tax number, a purchase order number or a cost centre, say so in the first message, because a corrected invoice takes longer than a correct one.

FAQ
How do I book a private boat in Labuan Bajo?
Message us the head count, the dates and the length of stay, by WhatsApp or at info@komodoexplorer.com. We reply with a written quote; you pay a 50 percent deposit to confirm and the balance 30 days before sailing.
Can a card be used for the deposit?
Yes. We send a credit card payment link, and the fee, if any, is shown on the invoice. Bank transfer in rupiah, Wise, Revolut, QRIS and Alipay are also accepted; PayPal adds 7.2 percent, and WeChat Pay goes through a payment partner.
Who is the contract with?
With PT Komodo Explorer Indonesia (NIB 1805260128363), the booking partner. We quote, invoice and arrange the pickup. The boats and their crews belong to and work for the operator group, and the contract is under Indonesian law.
What if one guest cancels?
Replace the name with another guest before the cut-off in your quote. If the head count falls into a lower Zada Ulla band, ask us in writing whether the rate changes; it is confirmed before you pay, not assumed.
Do I need passport details for every guest?
Yes, names exactly as on the passport or ID, with each guest marked as Indonesian or foreign for the park fee. The date they must reach us is set in the written quote, before final payment.
How far ahead should a company book?
As early as the calendar allows. Some weeks fill early, and a combination of several boats needs all of them free on the same dates. The earlier the head count arrives, the more choices remain.
