A group boards in Labuan Bajo, so the night before is a hotel night. Pick a hotel near the harbour for an early call time or on the airport side for late arrivals, send us the name and the rooms, and we match the pickup to it. A hotel night is not part of any charter fare.
Choosing a hotel by what the group does next morning
Choose the hotel by the morning, not by the lobby. If the boat call time is early, a hotel close to the harbour saves the group a long transfer. If half the team lands late at Komodo Airport, a hotel on the airport side saves the evening. The hotel cards below show the area, the style and the distance to the harbour as approximations, so use them to compare, not to time a drive to the minute.
We plan flight, hotel and boat together. Send us your preferred hotel and the rooms, and we book them and pass the pickup details to the crew.
The airport is about 2 to 3 km from town and roughly 10 minutes by car from the harbour area, which makes either side workable. Two practical points: ATMs are along the main harbour road and at the airport, and none is on the islands, so the team should collect cash the evening before sailing.

Rooming 28 people ashore
A full Zada Ulla is 28 guests. At two per room that is a block of fourteen rooms, and the group's finance person will want to see it written down. Ask us for the allotment early, and ask whether twin set-ups are available, since the bed set-up on board is confirmed pair by pair with the rooming list and the team may want twin rooms ashore.
Producer's checklist for the hotel night:

- the number of rooms and who is in each room
- the arrival time of every flight, by guest
- the call time we confirm in writing, passed to every room
- one PIC at your end who holds the cabin keys list and the manifest
Pickup from the hotel to the pier
Pickup in Labuan Bajo is from the airport, a hotel or the harbour; the time and the meeting point are confirmed in writing. A Toyota HiAce seats up to 12; a larger coach is available on request. A group of 28 therefore needs three HiAce vehicles or one coach, arranged by size and confirmed in writing.
The pickup starts at the hotel lobby, not the street. Tell the team to have luggage downstairs and passports to hand, because the sailing permit and the manifest need names as on the ID. Soft bags are easier to stow on a boat than hard cases.

What a hotel night is not
A hotel night is not in any Zada fare. Private charters and open trips both exclude the hotel and the meals before and after the sailing. Arrive one day before sailing so that a delayed or cancelled flight does not cost the group its boat.
If you want us to arrange the rooms, say so in the first message and we quote them as a separate line from the boat.
Last, a hotel night is not a cut-off. The cut-off for names is set in your written quote, and the return time on the last day is confirmed in writing; book onward flights only after that confirmation.
