Questions planners ask before booking a Zada boat
Updated 28 October 2026
Sixty-four answers for planners, in eight groups: booking and payment, capacity and cabins, fares, itineraries, park rules, safety, transfers, and weddings and events. Every figure comes from the 2026 price list for the four boats, and anything not yet fixed is confirmed in writing before you pay.
Booking and payment
How do I reserve a whole Zada boat for my company?
Send us the head count, the dates and the length of stay by WhatsApp or email. The producer on your file replies with a written quote, and the booking is confirmed when you pay the deposit of 50 percent. The balance falls due 30 days before sailing. A boat is held only when we confirm it in writing.
How much is the deposit and when is the balance due?
The deposit is 50 percent of the quoted fare and confirms the booking. The balance is due 30 days before sailing. Both dates are written into your quote, so the finance team can put them in the calendar before the first payment is made.
Can I pay by bank transfer, card or PayPal?
Yes. We accept bank transfer, a credit-card payment link, Wise and Revolut, as well as PayPal, QRIS, Alipay and WeChat Pay. PayPal adds 7.2 percent. The method is agreed with the quote, and the invoice is issued in your company's name.
Who issues the invoice and what company is on it?
PT Komodo Explorer Indonesia, NIB 1805260128363, issues the invoice. It is the booking partner: it quotes, invoices and arranges the pickup. The boats and their crews belong to and work for the operator group. Give us your company's legal name and tax details when you confirm.
How long does a written quote take?
We answer on WhatsApp and email during chat hours, every day, 08:00 to 20:00 WITA. A written quote follows once we have the head count, the dates and the length. A combination of several boats takes longer, because each boat's availability is checked in writing.
Can we hold a date before paying the deposit?
A date is held only when we confirm it in writing, and any hold and its terms appear in the quote. Ask in your first message whether a hold is possible on your date, and we answer yes or no. Do not buy flights on the strength of a chat reply.
What happens if we cancel 60 or 30 days before sailing?
Cancelling 60 days or more before sailing refunds 50 percent of what you paid; cancelling from 30 to 59 days before refunds 25 percent; closer than that, nothing is refunded. If the sailing is cancelled by the operator or by us, the refund is in full. The terms page has the whole scale.
Can we change the date after paying?
Yes, subject to the boat being free on the new date. A change costs IDR 500,000 per change in the window the booking terms set, and a change very close to sailing is treated as a cancellation. Ask in writing and keep the PIC on the thread.
Capacity and cabins
How many people fit on each Zada boat?
Zada Ulla takes 28 guests, Zada Nara 14, Zada Zen 12 and Zada Mega 10. That is 64 berths across the four boats. Nobody sails above those numbers.
Can one Zada boat take more than 28 guests?
No. Zada Ulla, the largest boat, takes 28 guests, and nothing above it. A larger group books a second boat as a separate charter, on the same dates if both boats are free.
How many cabins does each boat have?
Zada Ulla has 11 cabins, Zada Nara 7, Zada Zen 6 and Zada Mega 5: 29 in all. Cabin types differ by boat, and each boat's cabins page shows them.
Can two colleagues share a double bed?
Most cabins have a double bed; Zada Ulla's Family and Superior cabins add a bunk or a single bed. The bed set-up for each pair is confirmed with the rooming list, in writing, before you pay. Agree the pairs with your guests before the rooming list reaches us.
Is there an extra bed for a 29th guest?
No; capacity does not stretch. On Zada Ulla the Master takes up to two extra beds and the Suite one, inside the 28 guests, at IDR 6,000,000 · about USD 368 per person on an open trip. A 29th guest is a second boat.
Which boat suits a team of twelve?
Zada Zen, which takes exactly 12 guests in 6 cabins. 3D2N is IDR 85,000,000 · about USD 5,215 per boat, IDR 7,080,000 · about USD 434 each. A team of fourteen moves to Zada Nara, which takes 14.
Do all cabins have a private bathroom?
Yes. Every cabin on all four boats has a private bathroom, with a water heater in Zada Ulla's Master and Suite and in every Zada Zen cabin. Details such as the bathtub or the balcony are on the cabins pages.
Does the boat have a prayer room?
Zada Ulla has a prayer room. If a prayer space matters to your group on another boat, tell us in the first message and we confirm in writing what that boat can offer before you pay.
Fares and inclusions
Is a Zada private charter priced per person or per boat?
Per boat. A private charter hires the whole boat, and the fare depends on the head-count band, not on the cabins used. Zada Ulla has four bands; the other three boats have one. For example, 3D2N on Zada Nara is IDR 105,000,000 · about USD 6,442 per boat.
Is there a weekday and a weekend price?
We publish one 2026 price list for each boat; weekday and weekend rates are confirmed per date on request. The one calendar-driven fee is the park entry for Indonesians: IDR 50,000 on a weekday and IDR 75,000 on a weekend.
What is included in a private charter fare?
The boat with its chef and crew, harbour transfers, meals on board (four on a 2D1N, seven on a 3D2N, ten on a 4D3N), free-flow water, coffee and tea, snorkelling gear and life jackets. Zada Ulla and Zada Nara add a karaoke sound system, Smart TV, local Wi-Fi, a paddle board and a kayak, and Zada Mega lists a karaoke area.
What is not included in a private charter fare?
Flights, hotel and meals before and after, the park entry fee, ranger fees, personal expenses and crew tips are out. The guide and photo and video documentation are not included either; they are arranged on request and quoted separately. Park tickets and ranger fees are never in the fare.
Why is Zada Ulla cheaper per head than the smaller boats?
Because the whole-boat rate is spread over more people. At 20 guests Zada Ulla costs IDR 5,500,000 · about USD 337 each for 3D2N, against IDR 7,500,000 · about USD 460 on Zada Nara at 14 and IDR 7,080,000 · about USD 434 on Zada Zen at 12. The cost per head steps up at each band edge.
Does the price include a guide for a private charter?
No. On a private charter the guide and photo and video documentation are not included; they are arranged on request and quoted separately. Zada Zen and Zada Mega show optional extras: IDR 750,000 · about USD 46 per day for a local guide and IDR 2,000,000 · about USD 123 per day for documentation.
Are 2027 prices available?
The 2026 list runs to 31 December 2026. 2027 rates are on request in writing, before any deposit, and the written quote fixes the figure. Open-trip dates beyond the calendar are confirmed the same way, so ask when your date falls in 2027.
Is VAT included in the fare?
Yes: 11 percent VAT is included in the fares we quote. The written quote shows the lines and any item that is outside the fare, such as park fees, the guide and documentation. Ask us to show the VAT line if your finance team needs it separated.
Itineraries and timing
What is the shortest trip a company can book?
A day charter. The 1D day is a sample set by the captain on the day, such as Kelor, lunch on board and the Menjerite snorkel stop, back in Labuan Bajo before sunset. It is quoted for a free date.
Is the route the same on every Zada boat?
Yes. The stops for each length, from the one-day sample to 5D4N, are the same on all four boats; the rates differ by boat. The captain sets the order of stops, the anchorage and the timing on the day, by weather and park rules.
Who decides the order of the stops?
The captain sets the order of stops, the anchorage and the timing on the day, by weather and park rules; times on our pages are a sample. Tide and current can also swap stops, such as Manta Point and Taka Makassar. The PIC passes the plan to the group at dinner.
What time do guests board on the first day?
On an open trip, guests are at the Labuan Bajo meeting point by 10:00 on day one. On a private charter, the call time and the meeting point are confirmed in writing, and the pickup can be from the airport, a hotel or the harbour.
When do we get back on the last day?
The return time on the last day is confirmed in writing; book flights only after that confirmation. The 2D1N returns on day two, the 3D2N on day three, the 4D3N on day four and the 5D4N on day five. Arrive in Labuan Bajo the day before sailing.
Is 3D2N long enough for Padar, Komodo and Pink Beach?
Yes. Day one covers Kelor, Menjerite and Kalong; day two covers Padar, Pink Beach, Komodo Island, Taka Makassar and Manta Point; day three adds Kanawa. The order is the captain's, and Manta Point is never guaranteed. 3D2N starts at IDR 85,000,000 · about USD 5,215 per boat.
Can the route be shortened or changed on the day?
Yes. The captain can change the route with weather, current and season, as every itinerary page notes. Tell your PIC to expect a plan B on a rough morning.
What does the 5D4N route add?
The 5D4N is the longest route. It adds Long Beach, Turtle Point and Bird Island to the 4D3N stops, and brings Taka Makassar back. It costs IDR 105,000,000 · about USD 6,442 per boat on Zada Mega and IDR 105,000,000 · about USD 6,442 on Zada Zen, guide and documentation extra.
Park rules, fees and permits
How much are the Komodo park entry fees?
Entry is IDR 250,000 per foreign visitor, IDR 50,000 per Indonesian on a weekday and IDR 75,000 at a weekend, under PP 36/2024. Ranger and other levies are separate. The park fees page has a calculator for ten, fourteen and twenty-eight guests.
Are park fees included in the charter price?
No. Park tickets and ranger fees are never in a Zada fare, on a private charter or on an open trip. The group buys its tickets on one list of names. Put the fee in the budget line as a separate item, per person.
Do we need the passport number of every guest?
We need names exactly as on the passport or national ID, and the ID details the sailing permit asks for. Send the list by the cut-off in your written quote. A wrong spelling can delay the whole group at the ticket office.
Is a drone allowed?
A drone needs a park permit. We arrange a permit on request and quote it separately, and we promise no footage. A photographer or a drone operator is never part of a fare. Tell us in the first message if a drone is in your plan.
Who pays the ranger fee on Komodo Island?
The group pays it on the day, separately; it is not in the fare. Put the line in the budget so that the PIC is not collecting change at the station, and bring cash.
Can we snorkel everywhere in the park?
No. Snorkelling is at the stops on the route, such as Pink Beach, Menjerite, Taka Makassar, Manta Point and Kanawa, with the rangers' rules and the captain's choice of entry point. Gear and life jackets are on board. Manta Point has a strong current.
Is there a rule on group size on Komodo Island?
The rangers set the group size and split larger parties on the day. Expect your party of up to 28 to walk in smaller groups, each with a ranger, and plan extra time for it.
Do Indonesian staff pay less than foreign guests?
Yes, for park entry. Indonesians pay IDR 50,000 on a weekday and IDR 75,000 at a weekend, and foreign visitors pay IDR 250,000. The boat fare is the same for everyone, because it is per boat. Split the ticket list by passport before the cut-off.
Safety, weather and the replacement boat
What if the booked boat cannot sail?
If the booked boat cannot sail for a reason beyond our control, we arrange a replacement boat for the same dates, or refund you within 14 days, under the booking terms. We confirm class and capacity in the replacement quote.
Are life jackets on board for every guest?
Life jackets are on all four Zada boats and are included in the fare. Zada Ulla and Zada Nara also carry life rafts for 20 persons each. We confirm in writing that there is one life jacket per guest for your head count.
Is Komodo safe for non-swimmers?
Snorkelling is optional, life jackets are on board, and the walks are on paths with rangers. A non-swimmer can stay on the boat or float in a jacket in shallow water. Manta Point has a strong current and suits confident swimmers. We give no medical advice.
What if the weather changes the plan?
The captain decides. The route, the anchorage and the timing change with weather, current and park rules, and the captain picks an alternative stop. Your PIC receives the revised plan, and the itinerary pages say the same.
Is travel insurance required?
We recommend it for every guest, with medical cover and evacuation. Hospitals in Labuan Bajo may ask for payment up front. Insurance is a recommendation in our terms, and each guest arranges their own. We give no medical advice.
What is the best month for a company group?
April to June and October and November are the calm, clear months; October and November are quieter than July and August. Sunrise at Padar falls near 06:18 in July and 05:31 in November. The when-to-go page sets out all twelve months.
How rough is the sea in the dry season?
Calm from April to June and in October and November; windier in July and August, with September in between. These are general patterns, not guarantees. The captain adjusts the route to the sea.
Is there a doctor or medical staff on board?
No. We list no doctor or medical staff for any Zada boat. Tell us about medical needs in the manifest line and we confirm in writing what the boat can do. Travel insurance is recommended, and we give no medical advice.
Transfers and logistics
Is airport pickup included?
Yes. Airport, hotel and harbour pickup in Labuan Bajo is included. Above 12 guests a second vehicle or a coach is quoted as its own line. The time and the meeting point are confirmed in writing, and you should arrive the day before sailing.
What vehicle takes a group of twelve?
A Toyota HiAce seats up to 12. A larger coach is available on request. A group of 28 therefore needs three HiAce vehicles or one coach. Send the arrival list, and we match vehicles to flights.
Can you arrange transfers for fifty guests?
Yes. Pickup is included for every booking; for fifty guests the extra vehicles are quoted as their own line, set from the arrival list and confirmed in writing. Fifty guests need three boats, Zada Ulla with Zada Nara and Zada Zen, and five HiAce vehicles or larger coaches. Send the arrival times by guest.
Which hotel should the group book the night before?
Choose by the first morning: near the harbour for an early boarding, or on the airport side for late arrivals. The hotels page lists our partner hotels by area and distance. Partner hotels sell their rooms to us directly, with no booking-platform fee, and a hotel night is never part of a boat fare.
Is there Wi-Fi on the boat?
Zada Ulla and Zada Nara list local Wi-Fi, with no speed promised; on Zada Zen and Zada Mega it is confirmed in writing before you pay. Mobile signal drops between stops, so tell the office before you sail.
Where can staff charge their phones?
Electricity runs 24 hours on Zada Ulla, Zada Nara and Zada Zen. Charge devices the evening before and bring a power bank.
What should we send for the manifest?
Names exactly as on the passport or ID, the flight arrival for each guest, a dietary and medical line, and the cabin pairs. Send them by the cut-off in your written quote. One person at your end signs the list.
How is luggage handled?
Soft bags are easier to stow on a boat than hard cases. Leave larger cases at the hotel for the nights aboard. The PIC counts the bags against the manifest at the pier.
Weddings, events and team building
Can we hold an award dinner on board?
Yes, as a dinner at the dining table or on deck with the group together. There is no stage on board. Decoration, an MC, music and branded banners are arranged on request and quoted separately, and none is part of a fare.
Can we run a presentation with slides on board?
A short briefing, a speech or a prize works at the dining table or on deck. A workshop that needs slides is better held ashore before or after the trip, and anything you want to show on board is confirmed in writing before you pay.
Do you arrange weddings on the boat?
Weddings, celebrations, stage, decoration, an MC, a band and branded banners are arranged on request and quoted separately; none is part of a fare. A ceremony set-up is confirmed in writing before you pay. The weddings page sets out a celebration for 24 guests on Zada Ulla.
Can you arrange a team-building programme?
We can build a day from the route's activities: the Kelor walk, a ranger walk on Rinca, snorkelling, the paddle board and kayak on Zada Ulla and Zada Nara, and the karaoke set. A facilitator or equipment is arranged on request and quoted separately.
Is a karaoke set available?
Zada Ulla, Zada Nara and Zada Mega list a karaoke area and sound system; on Zada Zen it is confirmed in writing before you pay. Agree with the PIC when it stops, since the decks and the cabins share one space.
Can the boats sail together?
On request. Each boat is a separate private charter, booked with the others for the same dates if every boat is free, and quoted per boat. Sailing together, a shared anchorage and a joint programme are arranged on request, with the captains setting the order and the anchorages.
How do forty guests split across boats?
Zada Ulla with 28 guests plus Zada Zen with 12 makes forty with no spare berth. Zada Ulla in its 26 to 28 band plus Zada Nara with 14 also reaches forty. Each boat is its own charter, priced per boat.
Can a decorator or photographer come aboard?
Yes, on request, quoted separately, with a written quote before anything is added. A drone needs a park permit. Decoration, a photographer and any special dinner are not part of a fare and are not promised without the written quote.
